What is eyevip?

How long has eyevip been in business?

eyevip was developed by .eyecatcher AG, which has specialised in custom software solutions since 1998. In 2016, eyevip was spun off into its own company, eyevip cloud AG. With thousands of events and several million invitations sent, eyevip is one of the most widely used invitation and guest management tools in Switzerland.

How does eyevip work?

eyevip is 100% web-based. You access your events and guest lists anytime via a browser, with no download or installation needed. Once your account is set up, you can start planning your event straight away.

Which browsers does eyevip support?

eyevip works with all modern browsers: Chrome, Firefox, Safari and Edge. We recommend keeping your browser up to date.

Can I access eyevip on a tablet or smartphone?

It depends on the area: the admin interface is optimised for desktop and works best there. Event communication, like invitation pages and registration forms, is responsive and works on desktop and mobile devices. For on-site check-in, there's the eyevip check-in app, available for iOS and Android on smartphone and tablet.

How quickly can eyevip be up and running?

Can other people on my team edit my event?

Yes. Depending on your licence, you can add multiple users to your account and assign them access rights. That way, your team can collaborate on events without everyone sharing the same login.

Pricing & Licences
What licence models does eyevip offer?

eyevip offers licences for individual events and annual licences for unlimited events. The model is modular: you only book the features you actually need. Details and pricing: eyevip.com/en/pricing

Is eyevip suitable for small organisations with few events?

Yes. eyevip is modular by design: you use and pay for only what you need. Small organisers and agencies can get started quickly and affordably.

Are there minimum contract terms?

Annual licences have a minimum term of 12 months. You can cancel in writing up to 30 days before the end of the term (Private Cloud and on-premise customers: at least 90 days). Without cancellation, the subscription renews automatically for another 12 months. Single-event licences have a duration of 6 months.



Security & Data Protection
Is eyevip GDPR-compliant?

Yes. eyevip has been GDPR-compliant since 2018 and meets the requirements of the Swiss Data Protection Act (nDSG). In the registration form, you can link to your own privacy policy. Opt-out checkboxes are already included in every template.

Where is data stored in eyevip?

Your data is stored encrypted in two geo-redundant, FINMA-compliant, ISO 27001-certified data centres in Switzerland. An EU server is also available on request. We never share guest data with third parties.

What is eyevip's availability?

eyevip currently achieves 99.95% uptime and is targeting 99.98%. During maintenance or connection issues, access may be temporarily unavailable.

Does eyevip carry out security tests?

Yes. Customers from the insurance and banking sectors regularly have eyevip audited through independent security assessments and penetration tests.



Support
What support does eyevip offer?

All customers have free access to the eyevip support platform (support.eyevip.com). Support via email at support@eyevip.com is included. We're available Monday to Friday, 9:00 to 17:00. Service Level Agreements (SLA) are available on request.

Can I book additional support services?

Yes. For phone support, complex projects, team onboarding or individual customisations, you can add support hour packages. That gives you direct access to our team when you need it, without committing to an SLA contract. Just get in touch: support@eyevip.com

Do I need internal IT resources to use eyevip?

No. eyevip runs entirely in the browser, so you don't need your own hardware. We take care of hosting and infrastructure.



Guests & Invitations
How can guests register for an event?

Each invited person receives a personalised invitation by email and lands on a pre-filled registration form. After registering, they automatically receive a confirmation with all the event details.

Can I also invite guests by post?

Yes. eyevip supports postal invitations too: you print personalised letters with an individual access code. The guest then registers themselves on the event page using that code. A great way to combine analogue and digital communication.

Can I import guest data from Excel?

Yes. You upload your guest data as an Excel file in a predefined format. All the information is then available directly in your digital guest list.

When is the best time to send invitations?

Our experience shows: invitations sent on Tuesdays around 10:00 consistently achieve significantly higher open and response rates than on other days or times.

Can I export the data?

Yes. You can export your guest lists and registration data as an Excel file (.xlsx) at any time, for example for analysis, check-in or use in other tools.



Corporate Design (CI/CD)
Can emails and event pages be designed in our own corporate design?

Yes, 100%. We fully adapt email and landing page templates to your CI/CD: colours, fonts, layout. Whether a complete redesign or individual adjustments, we'll advise you.



Statistics
What statistics and reports does eyevip provide?

eyevip shows you the RSVP status of all guests in real time: invitations sent, acceptances, declines, pending. Before and after the event, you can export all guest data as an Excel file.



Enterprise Features
Can eyevip be used by multiple departments, branches or sponsors at the same time?

Yes. With the "User Group Contingents" add-on, you distribute invitation contingents to specific departments, branches, partners or sponsors. Each group manages its own contingent, and you keep the overall view centrally.

Can I send invitations from different senders?

Yes. With the Enterprise licence and sender management, you assign each guest or invitation group an individual sender with their own email address. The invitation then comes from the relevant contact person or the respective branch, not from a generic company account.

Is there an API to integrate eyevip with existing systems?

Yes. eyevip offers a GraphQL API that lets you connect the platform to external websites, CRM systems or other applications. More details: eyevip.com/en/interfaces

Can eyevip be connected to our existing CRM?

Yes. eyevip can be connected via the GraphQL API and offers ready-made integrations with HubSpot CRM, Stripe and Avaloq. Further integrations are possible via the API. Details: eyevip.com/en/interfaces
